Bike rides - Kashmir to Leh and Sikkim, Jungle safaris - Corbett,Chikhaldara, Kanha and Gorumara. Traveled through MP, Himachal, J&K, Maharashtra, W.Bengal, Sikkim, Uttarakhand, Goa, Karnataka, AP . . . Yet feel so New to traveling in India.

It is quite common that those FB parties get out of control ...

They said that there is 24/7 security so I should be safe

The local people want to do the arrangements and it annoys me. I am leaving for vacation next week and wanted to have all the arrangements done before that. But now I do not know if the apartment is reserved, is the airport pick up arranged, how do I arrange the transportation to the office etc. I know that they are taking care of it but I need to know.

Janie,

I can understand your annoyance and I completely agree with you. I guess this is a standard procedure for Indian people and office that they go beyond hospitality which start irritating people which is hard to control. I would advise you that you ask them about their arrangements and ask them to give you details. I hope that they can at-least do that for you which should ease your worries.

That was btw one of the reasons I didn't feel comfortable last time. I didn't know about the driving arrangements between the hotel-office, about the lunch arrangements and had to depend on my coworkers. I have been doing a lot of thinking why my last trip didn't work out well and trying to do things differently this time.

As i said earlier, ask them to tell you about it as you don't want to depend on their communication and their arrangements and whether it suits you or not. Most probably, it should not offend them and they should be able to get a clear message that what exactly do you want and clear about it!

This is kind of funny example of cultural differences. My indian colleagues have been visiting here and I have visited them. When they were here I arranged everything (even if I would never do it for any of my other colleagues visiting from abroad) and they seemed happy with it. I am myself so used to take care of myself so I went nuts the first time when I was there because I felt I do not have the control.

Here is also some differences in the company culture in different countries. In my country the admin assistant is one coworker in the same level as the rest of us. It seems like in India (I may be wrong) that he/she needs to get the approval from her/his manager before doing anything. When this strange lady from Finland with her strange request of wanting to have a serviced apartment came along she refused because that was out of the protocol:P

oh yes, I think very less Indians will mind what you did for your colleague which was a brilliant gesture by the way. Generally, you guys have lived independently through out your life and have control about everything while Indians will always try to find a hand to help them out in situations (No offense to anybody as its my personal opinion and i can be absolutely wrong).
Indian companies generally don't give the authority to admin people to do much as Financials are involved and they need to get approvals if they get some requests which is not something in their usual routine. Please don't take it personally as Admin person is generally just a coordinator and at the best with few more rights and that's all because they certainly don't have the financial in their hands.

I will (ie my company here in Finland) will of course pay for all expenses. I do not take it personally, I was only baffled. I said several times that I can handle it myself and she refused and referred to her boss. And I had to inform the boss (not mine) quite sternly that I decide myself about my accomodation.

Now I feel sorry for the admin about all the hassle I caused. I should have been quiet and arranged the accomodation without their knowledge.

I need to bring her a present. What could that be? Planned to bring a lot of chocolate but need to find something for her specially. I do not think Finnish design will fly ...

It's not your fault and not hers as well...You both were acting right as per the culture, company rules and all...Well i guess you can bring chocolates and may be you can buy her a T-shirt, Coffee Mug, A liquor bottle (If she drinks which you probably would have no idea), A perfume or anything which you can think of...A gift is a gift no matter what

Please do bring an Irish Cream liquor bottle as i wouldn't mind at all and we can even exchange Indian Liquor and Finnish liquor if you agree

About the admins not helpful with letting you arrange for self or helping you chose of your choice.

1 reason can be what Abhi said about they not having the authority to. change the protocol as it might mean financials which the organization wants to let out of its control due to corruption or budgeting or Quality (Value for money)


Another reason could be client satisfaction - IF you are a client or someone who is not a direct employee. The company would not want to risk changing their defined hotels or procedures as it might risking if a the experience for the visitor is not good.

The over helpful Indians might not be what a visitor wants but their intentions are always to let you experience the best. (This might not be a good experience for the visitor though)
There is a grey area on what is helpful and what is intruding which many Indians might not understand. Realize this is due to the cultural difference and communicate it clearly which I believe should help you out of the situation.

For gift - Which I do not think is really required or at the most a separate box of chocolates should do fine (or what abhi suggested). For more options also look at threads like THIS

The accomodation is now finally reserved. 1BHK in Belapur, 5000 INR per day. I got told that if I bring a present it should be something from here/Europe. So, I will by the secreterary some kind of finnish design shawl or something that she will most probably wear because it looks weird in their eyes .
